Our Enrollment Center is located in West Palm Beach, Florida, USA, where we process all inquiries and applications to all International Junior Summer Camps and Schools in different countries. You can call us during office hours (9.00 AM - 4.00 PM EST, Monday through Friday) or contact us online. We have educational advisors on duty even after normal working hours to review your online inquiries and applications 24 hours a day, 7 days a week.

Application Deadlines

We don't have application deadlines. However, all enrollments are subject to space availability. We recommend to reserve your place as far in advance as possible. Please note that the camps' capacity is limited and many parents and group leaders are "Early Birds" and make their decision 6 to 8 months in advance.

How to apply?

We encourage you to apply online. Please note that you may apply online only if you pay the enrollment fees and deposits online by credit card.

We accept VISA and MasterCard. In our Online Secure Form, we utilize the Secure Socket Layer (SSL) authentication and RC4 128 bit encryption technology. SSL encryption protects information being transmitted across the internet to our processing center.

You can also print out a printable application form in PDF, fill in your application and send it by post or by fax. If you use the printable application form, you can make your payment of the enrollment fee and deposit by credit card, check or international money order or by wire transfer to our bank account.

Enrollment Process:

  • Please send us your application. A non-refundable application fee of US $150 and a program deposit of $500 are required with your application. The program deposit is not an additional cost. Your payment in US Dollars will be converted in Euros and deducted from the total program fee. Please note that your application will be considered only when your payment of the application fee and the program deposit has been received.
  • Upon receiving your application and your payment of the application fee and the program deposit, we will send you e-mail with the registration confirmation and invoice. The Invoice will be issued in Euros. You can also make your payment of the balance in U.S. Dollars according to the current exchange rate. Normally, it takes 4 to 5 business days to process the application and finalize the enrollment.
  • The payment of the balance of fees is due upon receipt of invoice (no later than 60 days before the beginning of the program). Please note that the place will be confirmed only after the full payment has been received. The full payment must be paid before we can issue any documentation in support of a visa application if required. You may pay the balance by wire transfer, check or money order, or by credit card.
  • Other forms may be required upon registration, i.e. Supervision of Students Form, Parent Consent Form; Declaration Regarding Suitability to Work with Children (for group leaders), etc.

Visas, Permission to Travel, and other travel documents.

Students from many countries do not require a visa to enter Spain. However, it is the responsibility of the student's parents/guardians to contact their local embassy (or other appropriate office) in good time in order to obtain any visas/entry documents required for visiting Spain.

If visa is required, an official certificate of enrollment (invitation letter) will be issued after the full payment has been received.

In cases where a visa is refused, please send us a copy of the visa refusal letter from the Embassy or Consulate. Our normal cancellation charges apply if notification of a failed visa application is received less than 40 days before the course begins. If the visa refusal letter is received more than 40 days before the course begins, a full refund will be given less the non-refundable application fee, tuition deposit and bank and payment processing charges, if any.

Please also be aware of your country's requirements on the laws regarding unaccompanied children travelling abroad. A consent document or letter may have to be produced upon departure to prove that the child has the permission of the parents or guardian to travel.

To ensure that individual junior students travelling alone, and small groups of juniors travelling without a group leader, are not held up at the Immigration, we will issue a letter of confirmation to be shown upon arrival.

Other Terms and Conditions.

General

IPSA and Consortium Member Schools are not liable in any cases of force majeure (according to the law) or for actions of the students and their consequences.

Changes to enrollments

We reserve the right to charge an administration fee of 100 Euro each time course details are changed after documentation has been issued and sent with confirmation. This charge will not apply to extended courses.

Medical facilities

The camp has an infirmary and 24 hour first aid care on-site to ensure the health and well being of the students. If your child has any chronic medical concerns, allergies, special dietary needs or other requirements, simply notify us in writing, preferably at the time of registration. If your child plans to bring their own medicine to the camp, please send it with him/her, along with full instructions on its correct use.

Additionally, it may be advisable for the student to carry a report of special medical needs from his/her doctor. Any new medicines or off-site care required while the student is at camp are not covered by the program cost. However, all students are covered by insurance for on-camp medical assistance, included in the price of the program.

Insurance

Medical. We advise all citizens of the EU to bring the E111 document. If you require medical treatment, with this document and the medical bill you will be able to reclaim the medical expenses from your country of origin. We recommend that the students from other countries take out a medical insurance policy provided by the school that guarantees coverage for the illness stipulated on the above mentioned policy. All students in the summer camp are covered by a limited insurance for medical assistance, included in the price of the program.

Civil Liability. The school is not responsible for the loss and/or damage to personal belongings. We recommend that a student has a comprehensive insurance package covering these items as well as the course fees in the event of an unexpected cancellation or curtailment of the student's course.

Accommodation

The student will be charged for the replacement of broken items due to either negligence or by intention.

In the case of a serious disciplinary offense, repeated bad behavior or infringement of the laws the student will be expelled from the school and accommodation without the right for any refund.

Group Leader responsibilities

Group leaders are responsible for coordinating the requirements of the students in their group. They should liaise regularly with our staff to ensure the smooth running of the program. Regular meetings are arranged between the school management and group leaders (normally at least twice a week) and group leaders are required to attend these meetings. Group leaders can only be responsible for students within their group.

Group leaders are responsible for the conduct of members of their group and maintaining discipline. It is important that group leaders ensure that their students arrive on time for scheduled activities and excursions in the interest of all students on the course.

All group leaders will be asked to sign a form stating that they are a fit and proper person to be allowed unrestricted access to under 16s.

We will also issue all group leaders with clear guidelines of what they can expect from us and what the school can expect from them. Both a member of the staff and the group leader must sign this form.

Cancellation before arrival

You must inform the office in writing. Cancellation fees are charged as follows, and any balance is refunded less any bank charges and non-refundable items:

  • Cancellation received more than 40 days before the course begins: cancellation fee in the amount of the program deposit.
  • Cancellation received 40 to 28 days before the course begins: cancellation fee in the amount of the program deposit plus 20% of the program fee.
  • Cancellation received less than 28 days before the course begins: cancellation fee in the amount of the full program fee (including any deposit).

All refunds are made no later than 30 days after the denial letter (or a cancellation notice - in case a visa was not required) has been received by the IPSA Enrollment Center.

Cancellation after arrival

In no case money will be refunded once the course and/or lodging has started. Deposits and fees are not transferable from person to person. Students are advised to take out cancellation insurance with their local provider in case they need to cancel their courses within 40 days of the start date, or while they are on the course.
